SendMailOS has a zero-tolerance policy for unsolicited bulk email (spam). Violation of this policy will result in immediate account termination without refund.
We require that all emails sent through our service be permission-based. This policy helps maintain our reputation and deliverability for all users.
1. What is Spam?
Spam is unsolicited email also known as UCE (Unsolicited Commercial Email) or UBE (Unsolicited Bulk Email). By sending email only to those who have requested to receive it, you are following accepted permission-based email guidelines.
2. Permission Requirements
All recipients on your email lists must have given explicit permission to receive emails from you. Acceptable forms of permission include:
- Express consent: The recipient actively opted in through a signup form, checkbox, or other clear consent mechanism
- Transactional relationship: The recipient made a purchase or has an existing business relationship with you
- Double opt-in: The recipient confirmed their subscription via a confirmation email (recommended)
3. What is Prohibited
The following practices are strictly prohibited:
- Sending emails to purchased, rented, or borrowed lists
- Sending emails to scraped or harvested email addresses
- Using false or misleading header information
- Using deceptive subject lines
- Failing to include a valid physical postal address
- Failing to include a working unsubscribe link
- Ignoring unsubscribe requests
- Sending emails to addresses that have bounced
- Using third-party email addresses without permission
4. Required Email Elements
All emails sent through SendMailOS must include:
- A clear and conspicuous unsubscribe mechanism
- Your valid physical postal address
- Accurate "From" and "Reply-To" information
- A subject line that accurately reflects the content
5. List Verification
Information regarding your subscriber lists may be verified by SendMailOS at any time. We may request:
- Proof of opt-in for any list you upload
- Documentation of your data collection practices
- Information about the source of your subscribers
6. Monitoring and Enforcement
We actively monitor email activity for signs of spam, including:
- High bounce rates
- Spam complaint rates
- Unusual sending patterns
- Reports from recipients and ISPs
7. Consequences of Violation
If we discover that you are sending spam or violating this policy:
- Your account will be immediately suspended
- Your account may be permanently terminated
- No refund will be provided
- We may report the violation to relevant authorities
- We cooperate with all major ISPs and blacklists

9. Best Practices
To maintain good sender reputation and deliverability:
- Use double opt-in for all new subscribers

- Authenticate your sending domain (SPF, DKIM, DMARC)
