Keep Canada and US review decisions distinct.
Prepare one operational handoff while preserving the recipient-market, permission and message-purpose decisions that need separate review.
Reviewed 25 October 2026
Begin with recipients and purpose
Identify the audience location and what the message actually does before selecting a template or importing contacts. A single North America field is too broad to explain the review decision. Record which markets are involved and whether the content is promotional, service-related or mixed.
The CRTC describes consent, sender identification and an unsubscribe mechanism as core requirements for Canadian commercial electronic messages. The FTC’s US business guide addresses accurate sender information, truthful subject lines, identification, postal address and opt-out requirements. These starting points are not interchangeable permission models. Use the primary guidance to review the actual situation.
Move the decision record with the audience
A migration should preserve the reason a contact was included and the exclusions that prevent inappropriate future sends. Record where your controlled evidence lives, who reviewed its use and how the old system’s fields map to the new process. Keep unnecessary personal data out of the handoff document.
Reconcile aggregate counts, sample the suppression mapping and document any records that need a separate review. Pause recurring or queued work at a defined cutover boundary. A newly imported contact should not automatically receive a second copy of a welcome sequence simply because the sending system changed.
Review the complete recipient experience
Test the sender name, reply address, message links and unsubscribe journey with controlled accounts. Keep promotional blocks visible in the review even when they appear inside a service message. The recipient should be able to understand who is communicating and what action the message invites.
Assign an owner for post-release exclusions and failed-delivery review. Agree which system is the current source for suppression records during the transition, and make sure a rollback will not restore an older audience state without the latest exclusions.
Choose a route after defining responsibilities
Hosted delivery uses a monthly allowance. Own-server sending starts at €12/month with no monthly platform email quota for messages actually sent through that connected server. Your VPS is paid separately, and server capacity, provider policies, warm-up, safety checks, fair use and other plan limits apply.
The worksheet below records generic decisions and open actions. It does not inspect your list, calculate statutory deadlines or certify a migration. Country-specific privacy, marketing and sector requirements may need additional review beyond the two primary resources linked here.
This worksheet stays in your browser and is not sent to SendMailOS. Use general planning notes; avoid personal data, recipient lists, passwords and API keys.
Canada / US migration handoff
Create a generic review brief. Keep personal contact data and contact-level evidence in your controlled systems.
Questions & answers
Does a US campaign process automatically satisfy Canadian requirements?
No. Review Canadian recipients under the relevant Canadian guidance and keep that decision distinct from a US review. This worksheet does not determine exceptions or the applicable legal basis.
Can I use the worksheet to upload permission evidence?
No. Enter generic references and planning notes only. Keep personal contact records and source evidence in your controlled systems.
Does this page include separate US and Canada country guides?
This page provides a regional planning resource and primary-source links. It does not present additional country guide pages as already published.
