Japan · Japanese-language email QA

Review the Japanese message from inbox to action.

Review Japanese sender identity, subject, preheader, layout and destination together, then test the intended sending route. This English checklist includes a short illustrative Japanese sample for further review.

Reviewed 25 October 2026

Define the reader and the purpose first

Define the reader, what they know and the next action. Choose a consistent formality appropriate to the sender and message. Review new-subscriber, customer and necessary service messages separately, with their own recipient decisions.

Give the reviewer an English meaning brief alongside Japanese copy, including confirmed names, amounts, dates, terms and support destinations. Obtain qualified Japanese-language review before launch. This guide does not claim native editorial review.

Review the inbox fields as a small composition

Use a recognisable sender name, an accurate subject and a preheader adding useful context. Check fallback preview text for internal instructions, placeholders or private information. Review the combination in your actual test, not only each field in the editor.

There is no universal character count that guarantees a Japanese subject will display in every inbox. Write the important meaning early, then inspect the actual result on the devices and clients relevant to your audience. Confirm that the reply destination reaches a monitored route and that any marketing preference or unsubscribe action is understandable and works in your test.

FieldReview questionEvidence to keep
SenderWill the reader recognise who is writing?Approved display name and verified sending identity
SubjectDoes the opening meaning match the real message?Final reviewed copy and your own inbox preview
PreheaderDoes it add useful context?Preview showing no accidental fallback text

A small Japanese sample to review

Illustrative booking-information copy only. It is not a live message and has not been reviewed by a native Japanese editor or tested in a specific email client.

Illustrative Japanese copy with an English meaning brief
Subject: ご予約内容をご確認ください
Meaning brief: Please check your reservation details.

Preheader: 日時と会場の詳細をご確認いただけます。
Meaning brief: You can check the date, time and venue details.

Body opening: ご予約ありがとうございます。ご予約内容をご確認ください。
Meaning brief: Thank you for your reservation. Please review its details.

Primary action: 予約内容を確認
Meaning brief: View reservation details.

Before use: Insert only confirmed facts. Confirm that the destination really shows the relevant reservation. Have a qualified reviewer check tone, wording, context and the final rendered message. Do not place private booking information in the subject.

Check layout and address capability separately

Review narrow-width line wrapping, punctuation, mixed scripts, long URLs and button labels. Use readable spacing and practical font fallbacks. Keep essential information in text; review image alternatives and plain text. Test the final layout yourself instead of assuming a single design works everywhere.

Japanese text in message content and internationalized email addresses are separate technical questions. RFC 6531 defines the SMTPUTF8 extension for internationalized email transport. Do not infer support for non-ASCII mailbox addresses from a Japanese subject or a successful ordinary-address test. This page does not establish SendMailOS SMTPUTF8 support; verify the complete application, submission and delivery path before relying on such addresses.

  • Check that copy and pasted template content preserves the intended characters.
  • Inspect links containing Japanese text and verify the final destination yourself.
  • Test the final message with synthetic content on the clients your audience actually uses.
  • Record the client, device, date and result of your tests rather than claiming universal compatibility.

Make the release decision evidence-based

  1. Editorial review

Compare the Japanese copy with the meaning brief. Resolve tone, terminology, facts and remaining placeholders. Label any unreviewed text clearly in your internal handoff.

  2. Audience and purpose review

Confirm the recipient rule, recorded language preference and the permission appropriate for a promotional campaign. Keep necessary service messages focused on their stated purpose.

  3. Own rendering and route tests

Preview the template, send a controlled test and check the subject, preheader, layout, links and reply path. Verify the selected sending domain and route and examine delivery status.

  4. Local requirements review

Use Japan’s PPC legal resources and other applicable official rules for your actual activity. PPC notes that its English legal translations are reference material and Japanese originals have legal effect. This QA guide does not provide full legal clearance.

This worksheet stays in your browser and is not sent to SendMailOS. Use general planning notes; avoid personal data, recipient lists, passwords and API keys.

Keep one handoff for copy, audience and your own test results. Use generic notes and synthetic examples; no recipient data or credentials belong here.

Questions & answers

Does the Japanese sample mean it is ready to send?

No. It is illustrative and has not received native Japanese editorial review or client testing. Replace instructions with confirmed facts, obtain appropriate language review and test the final message through your own workflow before using it.

Does Japanese body text prove support for Japanese email addresses?

No. Message content and internationalized mailbox transport are different capabilities. SMTPUTF8 support must be verified across the actual application and delivery path. This guide does not claim that SendMailOS or any selected recipient system supports it.

Which Japanese email clients has this page tested?

None. Plan and record your own relevant client and device tests, including date, configuration and results. A successful sample does not establish compatibility with every inbox.
